What is worth automating

A stable rule does not necessarily need AI. Where ambiguous text needs interpretation, an AI assistant may be worth assessing, with review when it cannot resolve the request.
Example scope: from an enquiry to a task
This example helps define a project. It is not a client case study or an already activated commercial automation:
- Input: an enquiry containing a service, email address and source reference.
- Check: validate the fields and check whether that enquiry has already been processed.
- Decision: assign an owner by service; unmatched enquiries stay pending.
- Action: create an internal task with a status and next step.
- Review: show the outcome and exceptions to the person supervising the process.
Creating that task does not send a message to the customer. External messages need their own scope, recipient, authorisation and rules for stopping follow-up after a reply or withdrawal of contact permission.

What happens when something fails
If the destination does not confirm a write, the workflow should keep a pending status. Before repeating it, check whether it already happened; a timeout does not prove the operation failed.
Uncertain matches, revoked permissions and incompatible fields need a review path. Agree who receives the alert, what they can correct and how to resume without duplicating actions. Payments, deletions and commercial commitments need their own controls; being part of a workflow does not authorise them.
What delivery should include
The scope defines the steps, systems and permissions, rules and exceptions, outcome log, pause control and recovery instructions. Tests should cover valid input, resubmission, missing data and a destination failure using fictional data.
It also identifies who maintains the process, how a rule changes and which data can be exported when the arrangement ends. Automation without a maintenance owner can stop being useful when the business or an API changes.

To prepare a quote, we need the frequency, peaks, number of steps, connections and acceptable waiting time. Licences, executions and third-party usage are separate from development and maintenance. Savings need measurement on your actual task; no percentage is assumed.
